AthleticsRus — Terms of Service

Section 1: Acceptance of Terms

Welcome to AthleticsRus, a youth sports management platform accessible at athleticsrus.com. By creating an account, accessing the platform, or using any of our services, you agree to be bound by these Terms of Service. If you do not agree to these Terms, you must not access or use the platform. If you are accepting these Terms on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.

Important: AthleticsRus requires admin approval for all new accounts. Creating an account does not guarantee access. Your account must be approved by an AthleticsRus administrator before you can use the platform.

Section 2: Service Description

AthleticsRus is a comprehensive youth sports management platform that provides tools for player registration and profile management, team and division organization, coach tools and player evaluation, playbook design and 3D simulation, equipment and uniform tracking, scheduling and event management, attendance tracking, highlight video sharing, organization and communication tools, and payment and fee management (where applicable). We reserve the right to modify, add, or remove features at any time without prior notice.

Section 4: User Roles and Access Levels

AthleticsRus supports the following user roles: Super Admin (full platform access), Organization Admin (manages their organization’s teams, coaches, players, schedules), Coach (access to team management, player rosters, playbooks, attendance for their assigned teams), and Parent/Guardian (access to their child’s registration, forms, and team information). Access to data is scoped based on your role and organization.

Section 5: Organization Management

Organization administrators are responsible for the accuracy and management of their organization’s data. Each organization may customize its branding within the platform. The AthleticsRus platform logo will always be displayed on platform-level screens such as the login page and onboarding tour. Organizations are responsible for ensuring all players and staff have appropriate consent, medical information, and eligibility documentation on file.

Section 6: Player Data and Privacy

AthleticsRus collects and stores personal information about youth athletes, including names, dates of birth, medical conditions, emergency contacts, and insurance information. Player data is visible only to authorized users within the player’s organization. Medical and insurance information is restricted to organization admins and authorized coaches. Parents/guardians control what information is provided during registration. AthleticsRus does not sell or share player data with third parties for marketing purposes. All data is stored securely and encrypted in transit.

Parental Consent: By registering a minor player, the parent or guardian confirms they have the legal authority to do so and consent to the collection and storage of the player’s information.

Section 7: Acceptable Use and Conduct

You agree not to: use the platform for any unlawful purpose; register players without proper parental or guardian consent; share your account credentials with unauthorized individuals; upload content that is harassing, discriminatory, or inappropriate (especially given the platform’s use by minors); attempt to access data belonging to other organizations or users outside your authorization scope; use bots, scrapers, or automated tools to extract data; upload malware or malicious code; impersonate another user or organization; or use the platform to solicit players or staff from other organizations. Violations may result in immediate account suspension or termination without notice.

Section 8: User-Generated Content

Users may upload content including player photos, highlight videos, play designs, and team moments. By uploading content, you grant AthleticsRus a license to host, store, and display that content within the platform for users within your organization. You represent that you have the right to upload all content and that it does not violate any third-party rights, including privacy rights of any individuals depicted (especially minors). AthleticsRus reserves the right to remove any content that violates these Terms.

Section 9: Fees and Payment

AthleticsRus may charge fees for access to certain features or premium plans. Where applicable, organization registration fees and player registration fees are set by the organization administrator. Payments are processed securely through the platform’s integrated payment system. All fees are disclosed before payment is required. Refund policies are determined by the organization and are not managed by AthleticsRus unless otherwise stated. Pricing is subject to change.

Section 10: Intellectual Property

The AthleticsRus platform, including its logo, branding, software, design, and features, is the property of AthleticsRus and is protected by intellectual property laws. User-generated content remains the property of the user who created it. The AthleticsRus name, tagline, and associated logos may not be used without express written permission.

Section 11: Account Termination

You may request to deactivate your account at any time by contacting support@athleticsrus.com. AthleticsRus reserves the right to suspend or terminate any account that violates these Terms, provides false information, engages in harmful conduct, or has been inactive for an extended period. Upon termination, your access to the platform and all associated data will be revoked.

Section 12: Disclaimer of Warranties

The AthleticsRus platform is provided “as is” and “as available” without warranties of any kind. We do not guarantee that the platform will be uninterrupted or error-free, that all features will function as expected, or that data will never be lost or corrupted. We recommend that organizations maintain their own backup records of critical data.

Section 13: Limitation of Liability

To the maximum extent permitted by law, AthleticsRus shall not be liable for any indirect, incidental, special, or consequential damages, loss of data, disputes between users, decisions made by organization administrators, or any injury or harm occurring at sporting events organized through the platform. AthleticsRus is a management tool and does not supervise, endorse, or guarantee the conduct of any organization, coach, or participant.

Section 14: Indemnification

You agree to indemnify and hold harmless AthleticsRus, its owners, and affiliates from any claims, damages, or legal actions arising from your use of the platform, content you upload, your violation of these Terms, or disputes between you and other users.

Section 15: Privacy Policy

AthleticsRus collects and processes personal data in accordance with its Privacy Policy. We collect only information necessary for platform functionality, scope player data to authorized users, do not sell user data, and encrypt data in transit and at rest.

Section 16: Changes to These Terms

We may update these Terms from time to time. We will post the updated Terms on the platform, update the Effective Date, and notify organization administrators of material changes via email. Continued use after changes take effect constitutes acceptance.

Section 17: Governing Law

These Terms shall be governed by the laws of the State of Florida. Any disputes shall be resolved in the state or federal courts located in Pinellas County, Florida.
